Welcome to the website of Daenens Outsourcing and thank you for your interest in our company. 

Daenens Outsourcing values your data protection. Daenens Outsourcing, under the legal name ADA Services bvba, with registered office at Rijselstraat 231, 8200 Brugge, Belgium is committed to protecting and respecting your privacy. This Policy describes the personal data we collect from you and how we process them. 

Your personal data will only be used in the following cases and will never be used in other cases without your express consent.

Personal data we may collect from you 

  • We collect personal data about your visits to our website, including (but not limited to) traffic and location data, weblogs and survey content, contact forms, other communication data and the resources you access. Collecting that personal data facilitates your future visits to our website because it allows us to suggest content or services that are relevant to you, depending on the location from which you access the website. 

  • We collect any data you provide us with when you use our contact forms. Providing personal data through our contact forms is not required by law or a contract condition. Please remember that fields marked with an asterisk (*) are required fields: we need that information to respond to or fulfill your request. When completing contact forms, you are otherwise completely free to share or not to share other information or personal data with us. If you contact us, we will store that correspondence. 

  • We use your personal data to send direct marketing e-mail messages if you chose to do so in the relevant contact form. You can opt out of receiving any further future marketing messages at any time. 

  • We may also store cookies as is more fully described in our Cookie Policy.

What do we use your personal data for?

We collect, process and store your personal data for the following purposes: 

  • to tailor our content and resources to your preferences in the best possible way

  • to respond to your request or questions when you contact us 

  • to send other information that may be of interest to you such as future events or newsletters 

  • to help us create, publish and improve the most relevant content and services on the website for you

  • to ensure that the content and services provided on our website are presented in the way that is most efficient for you and your device 

  • to enable you to use the interactive features of our website when you wish to 

  • to further develop and improve the website, our services and our systems to better serve you 

We consider privacy to be one of your most fundamental rights. We therefore make every effort to protect your privacy. We always act in accordance with the Regulation of 27 April 2016 on the protection of natural persons with regard to the processing of personal data and on the free movement of such data and repealing Directive 95/46/EC (hereinafter the "Regulation") and with our deontology.

Our use of your data as described above is allowed because: 

  • it is necessary for our legitimate interests in the pursuit of the purposes indicated above, while those interests in each individual case may not outweigh your interests in privacy 

  • we must in some cases comply with law and regulations obligations, such as disclosure to the government, regulators or regulatory and government agencies 

  • it is sometimes necessary for the performance of a task in the public interest and, where we process special categories of personal data, that processing is necessary for the establishment, exercise or vindication of legal claims or where the processing relates to personal data that has been made public 

  • that data has, in limited cases, been processed with your consent, consent which we obtain from you from time to time, such as when you choose to receive marketing communications and news via e-mail

We do not use automated decision-making based solely on automated processing including profiling that may affect you legally or in a similar way. 

We retain your data for the duration of the required period to comply with our legal and regulatory obligations. The retention periods of your personal data depend on the respective purpose for which your data is processed and the respective instrument through which such personal data is processed. It is not possible within this Policy to provide an overview of the various retention periods in a reasonably comprehensible format. The criteria used in determining the applicable retention period are that we will retain the personal data described in this Policy for as long as (i) is necessary for the respective purpose, (ii) is necessary to carry out our business relationship with you, (iii) you gave your consent, and/or (iv) is required by the retention rules provided by law.

Sharing with third parties

In order to facilitate the efficient use of your personal data and to provide you with the best services and/or opportunities, it may sometimes be necessary for us to provide your personal data to third parties. However, such provision of personal data will only occur in the following circumstances: 

  • To suppliers, (sub)contractors and agents: we may occasionally contract or hire other companies and/or individuals to perform tasks on our behalf. Examples include hosting and/or maintaining website content or providing certain options offered by the website, providing marketing services or providing you with financial updates at your request. Such recipients will only have access to the personal data they need to perform their functions and may not use it for any other purpose. Recipients are subject to contractual confidentiality obligations. 

  • To government or law enforcement authorities: we will share your data if we believe we are required to do so.

IP addresses and cookies 

We collect information about your computer including (where available) your IP address, operating system and browser type for system administration purposes. These are statistical data about users' browsing behaviour and patterns that do not identify you or any other person.

If you share your computer with other users, we recommend that you do not select the 'Remember my information' option if the website gives you that choice.

Where are your personal data stored and used?

As previously explained under ‘Sharing with third parties’, we share your personal data with the following third parties: 

  • External suppliers, (sub)contractors or agents: in cases where we use external suppliers, (sub)contractors or agents, we continue to monitor your personal data and have controls in place to ensure that your personal data is adequately protected. 

We endeavour to take all reasonable steps required to ensure that your personal data is treated securely, in accordance with this Policy.

Retention period

Daenens Outsourcing will retain and process your personal data for a period necessary for the execution of the agreement and in function of the purposes of the processing, as described above. 

After all, a suitable profile is dynamic. As you constantly grow as a candidate, employee or client, you may tap into new, other functions. 

Your personal data are therefore retained as follows: for the duration of the services in accordance with the purposes described above = an active retention period, and as soon as there is no longer any contact = a passive retention period of 5 years.

Data security 

While we make every effort to protect your personal data, you should be aware that the transmission of information over the internet is never completely secure and we cannot guarantee the security of your personal data transmitted to the website or any third party. Therefore, any information you transmit is at your own risk. We will implement strict operational procedures and adequate, technical and business organizational security measures to prevent unauthorized access, alteration, deletion or transfer of personal data. Therefore, Daenens Outsourcing, ADA Services bvba, accepts no liability either for direct or indirect damages resulting from an unlawful processing by a third party of your personal data.

Your rights to access, change and delete your personal data

Under data protection and privacy legislation, you have the following rights:

  • The right to access and obtain a copy of your personal data: you have the right to request confirmation as to whether we are processing your personal data. If so, you have the right to access your personal data and to certain information about how they are processed. In some cases, you can ask us to provide you with an electronic copy of your data.

  • The right to correct your personal data: if you can demonstrate that the personal data we have about you are incorrect, you can ask us to update or otherwise correct those data.

  • The right to be forgotten/to have data erased: in certain circumstances, you have the right to have your personal data erased. You can make such a request at any time and Daenens Outsourcing will evaluate whether your request should be honoured. However, this right is subject to any legal rights or obligations we may have regarding data retention. In cases where we decide in accordance with the law that your request to erase your personal data must be complied with, Daenens Outsourcing will do so without undue delay.

To the extent that the processing of your personal data is based on your consent, you also have the right to withdraw your consent at any time. Withdrawing consent will not affect the lawfulness of any processing based on your previous consent before we received such withdrawal.

You can lodge a complaint about our processing of your personal data with the Privacy Commission.

Marketing communications

We only e-mail marketing communications if you gave us permission to do so.

The forms we use to collect your personal data include a checkbox that you can tick if you agree to receive marketing communications. When we send you marketing communications by e-mail, you can opt out of receiving further marketing communications by clicking on ‘Unsubscribe’ or ‘Opt-out’ in the e-mail. You can also exercise your right to opt-out at any time by contacting us at outsourcing@daenens.be with the following information: your name, e-mail address, contact phone number and the marketing communications you no longer wish to receive.

Changes to this Policy

The terms of this Policy may change occasionally. Any material changes to this Privacy Policy will be published by an appropriate notice on this website or by contact via other communication channels.
